The management team are, therefore, very aware of the running costs of the business and in 2017 approached Cantec to gain expert advice on reducing their printing & copying expenses. At the time, they didn’t have a managed print service and all the devices on site were stand alone single function printers of differing brands and one old multifunction device.
As scanning could only be done on the old MFP, much time was wasted and increasingly, there existed the threat of a potential security breach. From a corporate governance perspective as well as the rapid approach of stricter GDPR regulations, this was a situation that needed to be rectified.
In addition, the management of all the differing cartridges, their cost and the risk of obsolescence, was proving to be very expensive. Ever mindful of waste, the team looked to Cantec to solve the problem.
There were instant cost savings on the procurement of cartridges and the ongoing running costs for the service are substantially lower.
THE SOLUTION
Following a thorough review of the way the team worked, Cantec proposed the installation of a combination of mono and colour multifunction devices in the banking hall and upstairs offices.
We recommended the use of a smaller MFP for the Killeagh sub-office to facilitate secure and efficient scanning from the remote offices to the mainframe system.
In addition, we installed smaller single function printers for the management offices and the sub-office in Ardmore to ensure that confidential documents could be printed without security breaches on nonnetworked devices.
THE BENEFITS
All devices are covered under a managed print service and benefit from our remote software management system, FM Audit. This tracks toner use and prompts us to send toner automatically in advance of when it is required.
Meter readings are also done automatically meaning that bills are always based on accurate reads and not estimates.
Should a fault occur, our service team is notified in advance speeding up the rate of response. The Credit Union team immediately appreciated the benefits of the managed print service.
The charging structure via a single monthly invoice frees up time within the accounts payable department and the PIN code system for tracking usage facilitates budgets and expenses.
From the users’ perspective, the new set up is more efficient, allowing them greater productivity. Less time is wasted as scanning and printing can be done on all the machines. They are happy to get on with their own work and leave the printers to Cantec.
